Managing Filming Disruptions


Public Space Communication

  • Purpose: For buildings open to the public, there will often be disruption for visitors during filming.
  • Positive Communication: This disruption should be always communicated as positively as possible.
  • Website Updates: Relevant websites should be updated confirming when galleries, exhibits, or public spaces are not available due to filming.

Staff Briefing & Notification

  • Preparation for Groups and Schools: Pre-booked groups and schools should be informed in advance.
  • Notices and Briefings: Notices should be posted on reception desks and at points of entry confirming the same information in advance and on the days of filming.
  • Staff Preparation: All Front of House staff should be fully briefed as to what is happening and the key times when there will be any disruption.

Visitor Management & Filming Protocol

  • Managing Visitor Movements: Additional staff may be needed to manage visitors.
  • Visitor Access During Filming: While preparations are underway, visitors are occasionally allowed to stay but often must leave for the actual shoot.
  • Collaborative Management: Management falls to the property’s team in collaboration with the films locations team.
  • Communication Importance: Clear communication is key for a successful shoot.
  • Public Area Filming: For public area filming, clear warnings and parental permission are necessary.

Managing the Production


Ensuring Security and Safety

  • Insurance Coverage: Make sure you have adequate insurance coverage to protect against any potential liabilities or damages that may arise during filming on the property. Also make sure the production has theirs.
  • Legal Considerations: Consult with legal experts to ensure that all contracts, permits, and agreements related to filming on public property are properly drafted and legally binding.

  • Environmental Impact Assessment: Conduct an assessment of the environmental impact of filming activities and implement strategies to minimise any potential harm to the surrounding environment.
  • Community Engagement: Foster positive relationships with the local community by involving them in the filming process, addressing any concerns, and providing opportunities for their participation or input.
